Why We Exist
"In 2020, we watched a Nanaimo manufacturer lose a $200,000 contract because their quote took 3 days to generate. Their competitor answered in 2 hours."

Their product was better. Their people were experienced. But their process was invisible to the buyer. That is why NLP Software Services exists — to make Vancouver Island businesses as fast and efficient as their Lower Mainland competitors, with software that actually fits how they work.

Client Stories

Built on Vancouver Island. Trusted Here.

We don't have clients in Toronto or San Francisco. Every project is a local business we can drive to.

"We replaced our DOS terminal with TrussConnect in 12 weeks. Our builders now order online at 10 PM. Production scheduling went from whiteboard chaos to a digital board the whole shop can see."

Frank Olsen

General Manager, Island Truss

Nanaimo, BC

"PhysioFlow cut our no-shows from 15% to 4% in the first month. Patients book online, intake is done before they arrive, and our receptionist actually has time to greet people now."

Dr. Anne Morris

Clinic Director, Nanaimo Physiotherapy

Nanaimo, BC

"PropertyPilot turned our phone-tag maintenance process into a system where tenants submit requests with photos, vendors get assigned automatically, and owners see everything in real time."

Common Questions

What Our Clients Ask Us

Most of our projects fall between $15,000 and $75,000, depending on scope and complexity. A simple clinic booking system might be $20K–$25K. A full manufacturing platform with shop floor tablets and inventory tracking could be $60K–$75K. We give fixed-price quotes after a discovery workshop—no hourly billing surprises.

Our typical timeline is 6–12 weeks from kickoff to go-live. Small tools (4–6 weeks). Mid-size platforms (8–10 weeks). Complex multi-module builds (12–14 weeks). We demo working software every two weeks, so you see progress continuously—no black box development.

Every project includes 90 days of warranty support—bug fixes, minor adjustments, and reinforcement training. After that, we offer monthly retainers ($3,000–$10,000/month) for ongoing support, new features, and system monitoring. Or you can call us when you need something.

Our primary focus is Vancouver Island—Nanaimo, Duncan, Victoria, Courtenay, Campbell River, Port Alberni. We can serve the Lower Mainland and Alberta, but we charge for travel time. The Island is our home; we understand the local business context, regulations, and relationships.

We often integrate with existing systems rather than replacing them. If you have QuickBooks, Shopify, or a legacy database, we can build a bridge. If your current system is truly obsolete (like a DOS terminal), we'll design a migration plan that runs both systems in parallel for a safe transition.

We work with a fixed scope and fixed price. If you need changes after we start, we use a formal change order process: you describe the change, we estimate the impact on timeline and cost, and you approve before we proceed. This prevents scope creep and keeps everyone aligned.

Yes. We host on AWS in Canadian regions (Montreal/Toronto) to comply with PIPEDA. All data is encrypted at rest and in transit. We use industry-standard authentication (Auth0/Clerk) with role-based access control. For healthcare and legal clients, we follow additional privacy protocols. We also recommend cyber liability insurance for added protection.

We reduce this risk through weekly demos—you see working software every Friday, so there are no surprises at launch. If the project truly isn't working out, our agreement includes a 30-day termination clause after the first month. You'll pay only for work completed to date. In 4 years, we've never had a client exercise this clause.
